Automatically determine requirements

Customizable automations will assign documentation requirements directly to orders based on product attributes. This means you no longer need to figure out what documents you need case-by-case.


Eliminate the need to chase suppliers

When a documentation requirement is assigned to an order, the supplier and additional upload responsibles will be notified and given access to upload the documents directly into the system. No more compiling e-mails with document requests and sending reminders.


Keep track of expiration dates effortlessly

The system  manages requests for renewals based on the document expiration date, customized frequencies, or placement of new orders. Minimize the risk of missing a deadline and spend your time doing something else.


Centralized data storage

Documents are stored on the respective requirement they fulfill on the respective order and product they are related to. That way, you can always find the relevant document and don’t have to manage your own storage structure in a shared drive or folder.


Data management and document collection at scale

But how does it work? An integration from one or more of your existing systems (ERP, PLM, PIM, etc.) will transfer data on product attributes and order to Qarma. Here product data will be transformed into tags added to the product’s individual page. The product tags are matched up with the triggers selected for the different automations which then generates documentation requirements on the order and requests it directly from the suppliers. All uploaded documents can be exported for reporting.

Requirements – the automation engine

To assign documentation requirements to products and orders automatically, we need to set some rules, build some automations. In Qarma product compliance, we call these Product Requirements.

Requirements to be met
First of all, a requirement determines: what do we need to demonstrate compliance with? A legislation, safety or stability standard, customer requirements, an internal policy or something else entirely? This is the title and description of the requirement.  

Documents needed
Second, a requirement determines: what documents do we need to demonstrate compliance? A test report, scope and transaction certificates or maybe a license?

Scope
On each required document, it is necessary to determine what the document relates to. A supplier or the product itself. This ensures that the document can be applied to multiple products.

Expiration & renewals
Aside from scope, we also determine when a document needs to be updated or replaced. It may be when it expires, if an expiration date is noted in the document. It may also be at a determined frequency, i.e. every 12 or 24 months. Finally, it may be every time a new order is placed. Naturally, it is also possible to only collect the document once.

Notifications
Upload and approval responsibles are assigned to each document, so those with responsibilities on the document and product are notified via e-mail.
